Temp Tracker's Assurance
Temp Tracker logs the temperature of all your medicine fridges and rooms. It registers minimum, maximum and current temperature and adds a time stamp to the log. If needed readings can be taken every single minute.
A great feature of Temp Tracker is that it keeps a permanent record of readings and actions taken. Whenever an alert pops up and you or your staff resolves this alert, this is recorded in the system. Recording actions taken for temperature monitoring is a CQC requirement. Temp Tracker keeps a full history of the actions taken, so it becomes easy for you to show how you’ve responded to temperature deviations.
Each user, ward and/or department will have separate log-in details. This means the user accounts are tailored to the staff so they can only input data for their own area. Users can select standardised actions from a dropdown menu when they need to resolve an alarm.
Encrypted data is stored in a cloud and historical data will be accessible for approximately 30 years.
Temp Tracker sends you an alert via SMS or email when a temperature deviates from the optimum, meaning your medicine are at risk of spoiling.
With this alert you can take immediate action to ensure your medicine stay safe.
Especially in large teams the alert management feature comes in handy. This feature means you can determine who will receive the alerts and delegate the alerts to staff in a specific ward or department. They can then act and record appropriately.
In a hospital sending appropriate alerts to specific wards is greatly useful. This way temperature complications can be resolved quickly without additional calls or emails, which are often time-consuming.
The system holds a complete audit trail that can be securely accessed anytime. Automated reports and escalation alerts will ensure full compliance with regulatory standards is achieved.
Typically, you can use the following assurance methods for temperature tracking:
1. All SMS alerts will also trigger an email to the area manager. This email will prompt the manager to confirm that a team member took appropriate action and records based on the alert.
2. Temp Tracker sends automated escalation reports to the appropriate matrons, nurses, and managers. This report identifies any areas where alerts have not been actioned within expected timescales.
Medicine storage spot checks will be done in the same way as before with spot checks carried out as per Standard Operating Procedure.
As part of our service we offer full training and resources to the staff that you have nominated to receive alerts. This makes them familiar with the software and data loggers and helps them to determine the most appropriate corrective actions.
How Do Temp Tracker's Alerts Work?
The alerts received will allow you to look into the alert, showing you what the exact issue is. The alarm states where the issue is, for instance Ward 20 – medicine room. This is based on the name given to the different locations. Furthermore, it reveals what the device ID is, which is also shown on the data logger. This way users can identify the physical device when completing corrective actions.
In addition, the alert shows the following data straight away:
The actual temperature reading
The temperature limit exceeded
The time of the alarm
In addition, Temp Tracker provides you with:
1. A checklist of corrective actions that is to be completed for the fridge, freezer, or ambient temperature. This checklist lists items such as ‘are the doors left open’ and ‘is the air conditioning switched off’. This way issues can be resolved quickly and easily.
2. Instructions on what to do if temperatures continue to exceed limits. This could for example be an instruction to relocate the fridge stock to another fridge.
Temp Tracker backs data up if Wi-Fi goes down
There is no need to worry about your temperature tracking if your Wi-Fi goes down. Data is backed up locally on each digital sensor. This data is transmitted once the system returns to its usual status.
In reality this means there is a slight delay in analysing the data and sending out alerts. Once the Wi-Fi is back up and running, you can still access a full audit trail to assess the medicine’s stability.
If there is an immediate need to read a temperature during the Wi-Fi downtime, you can easily check the temperature on the visual display on each digital sensor. If a prolonged period of downtime were ever to occur, periodic manual checks of this display would be required to maintain compliance with CQC.
The data loggers used to track the temperature are known to last over 10 years at facilities we have installed them at. The batteries are expected to last up to 16 months. They are changed together with the annual recalibration.
Were the battery to fail earlier or run low, a system alert is automatically generated so batteries can be switched promptly. Alternatively, the devices can operate on the mains.
